Workflow

Four colours, one workflow

The logo is the map of the app. Each colour stands for a step in your preparation, and every page in PrepBook belongs to a colour. Orange stands for everything that concerns the students.

Collect

  • Thoughts
  • Search
  • Community
  • Meetings
  • Training
  • Conversations

Ideas, meetings and conversations end up in one place. Thoughts can be tagged with keywords and pinned. Meetings have agendas, minutes and tasks with deadlines; overdue ones are marked.

Search runs on your device and works offline too: lessons, notes, students, conversations, curriculum and attachments.

Create

  • Day & lesson
  • Curriculum
  • Timetable
  • Lesson times
  • Rooms

You enter the weekly grid once. PrepBook creates the lessons up to the end of the semester from it and skips holidays and mandatory days. A and B weeks are possible.

You place units from the curriculum on the next free lessons. Notes, homework and attachments are attached to the lesson.

Present

  • Week
  • Seating plan

The week view shows at a glance what is coming up, with exams, homework and the next free days. The seating plan exists per room and class, to print or to show on the smartboard.

Archive

  • Sync & backup

Several devices, one state. Everything can be exported: data as JSON, class lists as CSV, lessons and dates as a calendar file (.ics). The data belongs to you, even after a subscription has expired.

Students

  • Students
  • Parents
  • Class fund

Class lists, absences (excused or unexcused, full-day or per lesson), notes, guardians and emergency details are in the individual view. There are also parent meetings with agreements, emails to parents and the class fund.

The circle stands for the purity of children.

Set up

The first 15 minutes

This order saves you work later. After that, your lessons are set up for the whole semester.

  1. Dates

Enter semesters, holidays, public holidays and mandatory days, or import them as a CSV or calendar file.

  2. Settings

Choose the language and subjects, with one colour per subject. Also set the page layout for new handwriting pages.

  3. Timetable

Set the lesson times and fill the weekly grid with single, double or triple lessons.

  4. Transfer to calendar

This creates the lessons up to the end of the semester. Lessons you have already worked on stay as they are.

  5. Classes

Create classes and add students one by one or as a list, one line per person.

Features

What makes the difference in everyday school life

Archive · Sync & backup

No network? You keep working.

PrepBook first reads from and writes to your device. Changes collect until you are back online, then the app syncs. A chip at the top right shows where you stand.

If two devices change the same field, the newer change wins. For notes, both versions are kept as a conflict copy. Nothing disappears quietly.

Create · Day & lesson

Notes with the pen

Write by hand in lessons, conversations, meetings and in the curriculum, or on blank sheets under “Thoughts”. There are pen, highlighter and eraser, five colours and three thicknesses. The background is blank, squared, lined, dotted or Cornell.

With the pen on the screen, your palm does not draw. If you prefer to write with your finger, switch that on.

Handwriting stays handwriting. To find a sheet again, give it a title and keywords.

Present · Seating plan

One seating plan per room

Create a room with width and depth and place tables, board, windows and doors. A seating plan belongs to one class in one room. Layouts are rows, groups, U shape and wall tables.

“Shuffle” distributes the class at random, “A–Z” sorts by name. Anyone absent today is marked, and the absence comes from the student records. “New version from today” creates a new seating plan, and the old one stays under “Earlier seating plans”.

Parent emails from your mail program

PrepBook fills in recipient, subject and text and opens your mail program. You send it yourself, so the mail comes from your address. PrepBook stores no emails and sends none.

You choose a template (information, meeting invitation, asking about an absence, event) and write to each family individually or to all of them in one email with Bcc. PrepBook lists families without an email address by name.

Privacy

Student data needs clear rules

PrepBook holds names, absences and conversation notes. This is how the app handles them.

End-to-end encryption is optional. If you switch it on and lose the passphrase and recovery key, you can no longer reach your data. The pilot team cannot rescue it either.

First on your device
The app reads and writes locally. The server only syncs.
PrepBook Cloud Switzerland
The cloud is in Switzerland. At the start, the data is stored there.
Own login
Account with an email address and a password of at least 12 characters. No login through Microsoft or Google. Two-factor sign-in with an authenticator app is possible.
End-to-end encryption
Notes, handwriting, student data, conversations, reports and file names are then unreadable on the server. Search keeps running on your devices.
Retention periods
Twelve months after a class ends, PrepBook suggests deleting the class data. Data is only deleted when you confirm.
Access log
You see the latest sign-ins, failed attempts and new devices, and you can sign devices out.
Export and deletion
All data as JSON, class lists as CSV. The account can be deleted together with its data.
Community
No names, photos or details about students, parents or colleagues. A text filter warns you about matches, but it does not replace your own care.

Questions

Common questions

Can I try PrepBook?

You can try it from January 2027. If you join the pilot, you get a personal invitation code and can start with your own account.

Does PrepBook run on the iPad?

Yes, in the browser. A tablet app of its own follows later. The browser can limit or delete local data, so sync regularly. The chip at the top right shows whether everything is synced.

Do I need a Microsoft or Google account?

No. PrepBook has its own account with email and password.

Which teachers is PrepBook for?

For all teachers, at every level and in every country. Planning, classes and notes are not tied to any school system. Holiday schedules are not stored. You enter the holidays yourself or import them as a CSV or calendar file.

How much does PrepBook cost?

The price is not fixed yet. Once it is, it will appear here, excluding VAT and with 2 GB of cloud storage included.

Join the pilot

We are looking for teachers, with or without class teacher duties, who work on iPad, Mac or Windows. Anyone who works with a stylus is especially welcome.

The pilot lasts six weeks. You get a personal invitation code and write your feedback directly in the app.

  • It is a pilot, so expect errors. Keep important data in your current system.
  • Only enter student data if your school management has agreed.
  • Do not write students’ names in your feedback.
